Where will the #ecsite2022 Business Bistro take place?
The Business Bistro will be located at the centre of the Ecsite Conference Camp in the city of Heilbronn.

The Business Bistro will be located at the heart of the Ecsite camp. Participants will come to the Business Bistro several times a day looking for coffee, desserts and of course, productive networking. The Happy Hour on the second day, Friday 3 June, is a must-go.

What are the booth setup and dismantling dates and times?
The Business Bistro set up schedule will be the following:
Tuesday 31 May 2022, from 14.00 to 22.00
Wednesday 1 June 2022, from 7.00 to 22.00
Thursday 2 June 2022, from 08.00 to 10.00
Event running: 2-4 June
Business Bistro dismantling times:
Saturday 4 June 2022 from 18.00 to 22.00
Sunday 5 June 2022 from 8.00 to 12.00
Goods and booth materials that couldn't be picked up from your booth and shipped back by Sunday morning will be transfered from the Business Bistro to a storage area in the Ecsite camp.
These goods and booth materials should be picked up from the Ecsite camp storage area on:
Tuesday 7 June 2022 between 8.00 to 12.00 at the latest.
If your booth materials couldn't be picked up from the Ecsite camp storage area on Tuesday 7 June between 8.00 to 12.00, your logistics company can pick up your goods at W. Wüst GmbH & Co. (see question below): from 8 June until 15 June at the very latest.

What is included in an “Exhibitor package”?

Price: €3,825 excl VAT
A 6m² space (width: 3m / depth: 2m / height: 2.5m) • Company name panel & booth number to be specified with Scheurle (the booth building company) depending on booth specifications • White side & back walls • Basic electricity: 2 power plugs with 220V • Mottled dark grey carpet with superficial carpet cleaning once a day • Lighting of the booth from the Business Bistro tent ceiling • Furniture: 1 table & 2 chairs • Basic internet connection • Listing (+logo) and short description of the company’s profile in the Conference exhibitor catalogue on the Ecsite website • Company listing in the digital programme and in the printed participants list.
One free registration for the full Conference and social events, excluding Farewell party (value: €764) and 3 booth staff (who will have access to the Business Bistro area only and the lunch area).

Price: €3,295 excl VAT

Head panel with logo example: please note that the default head panel will have the exhibitor's company name and the booth number. Adding your logo implies extra costs.
What are the booth measures for prints?
Wall-Measures are: 2235 x 950 mm (visible parts)
Graphic documents (for wall prints): 2255 x 970 mm (trim allowance of about 10mm). The artwork needs 100 dpi in the final print resolution.
Price for square meter (print, mounting inclusive): 130€
Price for wall: 293,15€ (net)
Colour of the walls: white or light grey (depending on the number of printed walls)

Who is building my booth and how can I contact them?
A local company, Scheurle Messebau GmbH, will be building your booths and will be your central point of contact for everything regarding your booth. If you stick to a regular booth and furniture, you don't need to be in touch with Scheurle. However Scheurle is here to help if you wish to order extra furniture, decoration or prints (see next question), if you want to have double booths (and need to discuss your head panel options) or open booths with 2 main booth walls instead of 3 when possible (for corner booths or double booths).

I need extra furniture. What is available and how can I rent it?
You can find Scheurle's PDF catalogue here: scheurle_furniture_catalogue.pdf and contact them directly by writing to them at ecsite@scheurle-messebau.de to rent extra furniture.
How can I customise the graphics for my booth's head panel?
The booth head panel size is 30cm x 200cm (small booth) and 30cm x 250cm (normal booth). Head panel graphics will be standardised and the same for everybody (except for double booths that need to be discussed with Scheurle).
If you want a personalised shield or to make modifications to it with the company logo - or anything you would like, digital printing or foil plot in standard fonts, according to your specifications, will be charged €78/piece.
Deadline to receive final graphics is Tuesday 10 May at the latest.
Will there be an internet connection?
Yes, there is a basic WI-FI provided throughout the whole Ecsite Camp (2Mbps per user) and a LAN/cable connection in the booth.
Where can I send my goods to, and when?
You can send your exhibit goods for no extra fee to the below logisitcs company based in Heilbronn (this service is indeed free for Business Bistro exhibitors):

Goods can be delivered from 16 May and until 30 May 2022 at the latest.
Please label your goods with “Ecsite Business Bistro” and your stand number and inform the Wüst team once you have sent your goods by sending an email to Mr. Meurer at s.meurer@spedition-wuest.de, T. +49 7131/1001-233.
The Wüst team will then bring all the booth goods and materials they've received to the Ecsite camp on Tuesday 31 May so that everything is there when the Business Bistro set up will start.

Will I be able to park my car/truck?
For discharging the material and picking it up you can access the camp during the following times and park onsite during charging/discharging:
Discharging: 31.05.22 from 14.00 to 22.00; and on 01.06.22 from 7.00 to 22.00;
No access for cars/trucks on 02.06.22.
Charging: 04.06.22 from 20.00 to 22.00; on 05.06.22 from 8.00 to 12.00; and on 07.06.22 from 8.00 to 12.00.

Will there be basic tools & staff to help set up and dismantle the booths?
Yes. There will be staff helping out with the set up on Tuesday 31 May from 14.00 to 22.00, on Wednesday 1 June from 07:00 to 22:00 and on Thursday 2 June from 08:00 to 10:00. For the booths dismantling some time is planned on Saturday from 18.00 to 22.00 and on Sunday morning. The Monday following the Ecsite conference is a holiday so some time will also be scheduled on Tuesday morning if need be.
The staff helping you will be equipped with basic tools, so if you need additional services (such as forklifts and pallet trucks) you will need to place an order at least 3 weeks ahead and pay their fee.
Where can I store my goods during the conference?
During the conference you can store your goods and empty containers in a tent located opposite the Business Bistro (close to the registration area). Ask the staff on site for access.
For storing goods bigger than 2m³ please inform us in advance.

I have registered to attend the conference and I have an e-ticket, where can I get my conference badge?
Depending on your booth package you will receive one or more free registrations. Your free registration(s) allow for free access to the entire conference, including social events (excluding the Farewell Party). Please note that you still need to register ahead of the conference, using a special code sent once your Business Bistro invoice has been settled. Extra tickets for social events can be purchased online and on site.
At the conference, get your badge at the registration area, before settling down in the Business Bistro area.
If you are a booth staff you will also get your badge at the registration area, before settling down in the Business Bistro area.
What does it mean to be a booth staff, with free entrance to the Business Bistro?
You are allowed to have up to three staff at your booth, free of charge and separate from the free conference registration(s) you are entitled to as part of your booth package.
Please contact Daphnie Daras to register your staff. Staff will have access to the Business Bistro venue and lunch venues only.

Do I need to prepare for the Happy Hour?
Yes, definitely! The popular Happy Hour event will take place at the Business Bistro, on Friday 3 June from 18.00 to 19.00. This is your opportunity to attract participants by offering special and typical snacks and/or drinks.
In previous Happy Hour editions, some exhibitors were very good at attracting participants to their booth. Their secret:
• They brought drinks and/or snacks from their country or region - everyone is curious to try out different things!
• They had something fun to do/talk about at their booth
• They hung festive flags / distributed fun and attractive giveaways...
We listened to exhibitors' request and we do not provide additional alcoholic drinks in order not to compete with what exhibitors will be offering at their booth.
Yes: thirsty and hungry participants will need to come to your booth and network!
But we do help you out with:

I brought drinks & snacks that need to be refrigerated. Where can I store them till the Happy Hour?
The Business Bistro staff will take you to the refrigerated space where you can store your drinks and snacks until the Happy Hour.
I need extra glasses and cutlery. How can I ask for more?
If you wish to order some wine glasses – free of charge if within a reasonable amount – please ask the caterer in the Business Bistro directly.
Dishes and cutlery are also available, to cut hard cheese or display delicious traditional chocolates! You'll just need to ask the staff on site.
